Desktop or Web-Based Inventory Software: Which Fits Your Shop?
When you shop around for inventory software, you will run into two main approaches: desktop programs installed on the computer in your store, and web-based systems that run in a browser. Both record sales, track stock and produce reports. Where they differ is where your data lives, where you can reach it from, and what happens when the internet goes down.
This comparison weighs both approaches fairly, and it is upfront about the cost of going web-based: it needs a stable internet connection. If you want the basics first, start with our explainer on what cloud software is.
The core difference: where does the data live?
With desktop software, the program and the data sit on the computer it was installed on. To use it you need to be at that machine; reaching it from another device usually means network configuration, remote desktop tools or an extra licence.
With web-based software, the data is kept on a server and you sign in through a browser. There is nothing to install, and the till computer, the laptop in the back office and another branch all see the same up-to-date figures.
Where desktop software still makes sense
The biggest advantage of a desktop program is that it can run without the internet. If you are in an area where the connection drops often and you run a single-computer, single-till shop, that is a real plus.
For a single location with one user and no need for remote access, a desktop program remains a reasonable choice. Just keep in mind that backing up that computer regularly and planning for hardware failure is then your job.
Where web-based software pulls ahead
No installation is needed, and any computer with a browser can access it. The cashier, the stock manager and the owner can work at the same time, each with their own permission level. The owner can check the day's sales and stock without being in the shop.
The difference grows with every new location. Each branch keeps its own stock, yet all of them are visible from one panel, with no files to shuttle between stores. We cover this in detail in our article on multi-location inventory management.
Welda Stock is web-based: barcode sales, real-time stock, multiple branches and user permissions are all managed in the browser.
The honest downside of web-based: the internet
In a web-based system, transactions run over your internet connection. If the connection drops, so does your access, which makes a stable connection a prerequisite. We don't play this down: for a busy corner grocery store, a connection problem means lost sales.
With Welda Stock, if your connection is unreliable, we plan the most suitable way of working for your shop together during setup. If your internet drops frequently, factor that in clearly when you decide.
A checklist for your decision
Web-based is the better fit if: you have more than one location or warehouse; several people work at the same time; you want to see sales and stock from outside the shop; you don't want to reinstall everything when a computer is replaced; and your internet connection is stable.
Desktop is the better fit if: you work with one computer and one till; you don't need remote access; and your internet drops often. A clothing store with several branches, for example, usually falls into the first group. To compare costs, see our pricing page.
Does web-based inventory software work without the internet?
Web-based systems run over the internet, so a stable connection is recommended. With Welda Stock, if your connection is unreliable, we plan the most suitable way of working together during setup.
Do I need to install anything to use web-based software?
No. Welda Stock runs in the browser, so you can sign in from any computer that has one. It works alongside standard hardware such as barcode scanners.
Can I move from my desktop program to a web-based system?
Yes. You can start by importing your product, stock and price lists from Excel. Data import is included in setup, which is usually completed the same day.
Can I manage several branches from one account?
Yes. Each branch and warehouse keeps its own stock balance, and you see sales and stock for all locations from a single panel.
